Role Overview

We are looking for a commercially minded, organised and hands-on Part-Time Accountant to take responsibility for the financial management of an event from planning through to delivery and final reporting over an 2 year period.

Working closely with the Operations Lead , the successful candidate will oversee event budgets, monitor costs, manage forecasting and provide clear financial reporting to ensure the event remains financially controlled and on track.

This is a practical role suited to an accountant who enjoys working closely with an operational team and wants to play an active role in the planning and delivery of an event.

Key Responsibilities

Budgeting & Financial Planning

• Develop and maintain the overall event budget.
• Work with the Operations Lead to establish budgets across suppliers, staffing, venues, production and other event costs.
• Monitor committed and actual expenditure against budget.
• Identify potential overspends and financial risks at an early stage.
• Support the planning process with accurate financial information and cost analysis.

Cost Management

• Track all event-related costs and commitments.
• Review supplier costs, invoices and purchase commitments.
• Ensure expenditure is appropriately approved and allocated.
• Maintain accurate and up-to-date cost trackers.
• Identify opportunities to control costs and improve value.

Forecasting

• Prepare regular forecasts throughout the event planning and delivery cycle.
• Update projected final costs based on actual expenditure and known commitments.
• Highlight variances between budget, forecast and actual results.
• Provide clear commentary on significant movements or financial risks.

Reporting

• Produce regular financial reports for the Operations Lead and relevant stakeholders.
• Provide clear summaries of budget position, expenditure, commitments, forecast and key variances.
• Prepare a final financial report following the event, including actual results against budget and key learnings.
• Ensure financial information is accurate, timely and easy for non-finance stakeholders to understand.

Operational Partnership

• Work closely with the Operations Lead to understand operational plans and their financial implications.
• Attend relevant planning meetings and provide financial input where required.
• Challenge costs constructively and provide practical financial guidance.
• Help the operational team understand the financial impact of decisions throughout the event lifecycle.

Experience & Skills

Essential

• Qualified Accountant
• Good experience in budgeting, cost control and financial reporting.
• Excellent Excel/spreadsheet skills.
• Strong attention to detail and numerical accuracy.
• Ability to manage multiple costs, suppliers and deadlines.
• Strong communication skills and the ability to work effectively with operational teams.
• Commercial and practical approach to financial management.

Desirable

• Previous experience in events, hospitality, entertainment, conferences or similar project-based environments.
• Experience managing budgets for individual projects or events.
• Experience with forecasting and variance analysis.
• Experience working with multiple suppliers and contracts.
